Give ad hoc direction

Summary

PRINCE2® requires that Project Board members undertake the following responsibilities, collectively and individually, for giving ad hoc direction.



Actions required for giving ad hoc direction

Respond to requests:

  • Review the request. This could be informal or formal (in the form of an Issue Report)
  • Make a decision - approve, reject, defer decision, request more information
  • Provide guidance to the Project Manager

Respond to reports:

  • Review the latest Highlight Report to understand the status of the project
  • Be satisfied, through dialogue with the Project Manager, that the stage is progressing according to plan
  • Make decisions on Exception Reports – adjust tolerances or approve responses to the exception as appropriate

Respond to external influences:

  • Ensure that the project is kept informed of external events that may affect it
  • Ensure that the project remains focused on the corporate or programme objectives set and remains justified in business terms
  • Ensure that the Project Manager is notified of any changes in the corporate or programme environment that may impact on the project and that appropriate action is taken
  • Where the project is part of a programme, if there is to be a change in the composition of the Project Board, the advice and approval of programme management should be sought

Communicate:

  • Advise the Project Manager of any change to Project Board personnel
  • Keep stakeholders (corporate or programme management and other interested parties) informed about project progress, as defined by the Communication Management Strategy
