Authorizing project closure is effectively the last project activity.
Its purpose is to confirm that the project has been concluded in an orderly manner before the remaining project management team is disbanded.
The Project Board needs to be assured that the products of the project work have been securely handed over and accepted by the functions responsible for using and maintaining them, that the nature and responsibility of any follow-on action has been agreed, that measures are in place to realize the benefits from the project, and that the participating organizations exploit any lessons learned.
What to expect from the Project ManagerBefore the Project Board confirms closure, the Project Manager must ensure that all the specialist activities and products of the final stage are complete, including those required for handover and acceptance.
The Project Manager should produce an End Project Report, detailing the resolution of any outstanding issues or follow-on actions and summarizing any lessons.
The Project Manager also updates the Benefits Review Plan with details of any benefits measured to date and with the arrangements and responsibilities for future benefits reviews - though this may be handled by programme management if the project is part of a programme.
It is important that there is an orderly closure even if a project is terminated prematurely.
